A WhatsApp click is an invitation to talk, not evidence of a sale. To connect marketing to revenue, preserve the campaign reference through the conversation, sales record and financial outcome.

1. Define the outcome before collecting data

Agree what counts as a new customer, a qualified enquiry and a completed sale. Keep won-deal value, invoiced revenue and money received separate. Choose a reporting period, attribution window and currency policy. A new contact is not necessarily a new customer.

2. Give campaigns distinguishable links

Use a separate tracked link and consistent UTM values for each campaign or post. A website can record the campaign reference before opening WhatsApp when the visitor’s consent and your privacy rules permit it. Direct WhatsApp links can include an optional, non-sensitive reference in the prefilled message, but users may edit or remove it. Never put email addresses, phone numbers, passwords or access tokens in campaign URLs.

Example reference: SOC-OCT-01. It identifies a campaign—not a person. A generic WhatsApp button, an anonymous click or a view of a social post cannot by itself identify which customer later bought.

3. Carry the reference into the enquiry

Ask staff to record the reference in the contact or enquiry record when present. If it is missing, a voluntary “How did you hear about us?” answer can be recorded as self-reported evidence, separate from a tracked event. Do not silently invent a campaign match. Provider-approved WhatsApp integrations can automate permitted message handling, but availability, scopes and customer permissions must be verified.

4. Match the contact inside the correct workspace

Use a reliable, permissioned identifier such as the CRM contact ID or a validated phone number. Deduplicate repeat contacts. Store why records were linked and allow corrections. Do not match unrelated people by approximate names or merge customers across agency clients. Keep access restricted to the team serving that client.

5. Reconcile sales and financial records

Link the contact to the CRM deal, then link the deal or customer to the corresponding invoice and payment records. Avoid counting both the invoice and its payment as two sales. Track partial payments, refunds and credit notes; specify whether reported revenue excludes tax. Keep mixed currencies separate unless an explicit conversion method is applied.

6. Report coverage alongside credited revenue

Show the recorded revenue basis, campaign-linked customer count, attribution method, lookback window and unmatched outcomes. Distinguish event dates from import dates. Where a customer has several observed touchpoints, compare first-touch, last-touch and linear credit rather than claiming one channel certainly caused the sale. Offline referrals and private or missing interactions remain genuine blind spots.
